To provide clarity on what services are covered under the Travel Service Fee (TSF) required to join us in Paris, France next summer (July 29th - August 6th, 2024), please see the 7 categories below of what services this fee offers. The purpose of the TSF is to offset the costs that me (Victoria F.) & Trip Co-Planners Brooke D. and Regina D. incur to plan this amazing trip for everyone. Brooke specializes in Professional Hospitality Services for On Location, the Official Hospitality Partner for the Paris 2024 Games. Regina has been a French Teacher for over 30 years in the DC area, has been to France and several other French-speaking countries dozens of times, and is an authority and expert on French culture and the French-speaking world.

All attendees must pay the TSF in advance & at the time of registration. Attendees who can no longer travel after paying the fee will receive a 50% refund of the fee if they cancel by 11:59 PM ET June 30, 2024.

1. Trip Coordination (Victoria F., Regina D.)

Overall management of the trip planning process.

Developing a detailed itinerary based on the duration of the trip and the Olympic event schedule.

Coordinating with various stakeholders, including travel agencies, accommodation providers, and other event organizers.

Ensuring compliance with travel regulations, visas, and necessary documentation.

Facilitating communication between participants and relevant parties.

2. Travel Agent Services (in Training, Victoria F., Current Group Travel Coordinator)

Assisting with flight bookings and providing options for travel arrangements to Paris.

Helping participants understand travel requirements, such as passports, visas, and vaccinations.

Providing information on local transportation options in Paris and arranging any necessary transfers.

3. Accommodations Specialists (Victoria, Regina)

Researching and identifying suitable accommodations in Paris based on budget, preferences, and proximity to Olympic venues.

Handling the booking process and managing room allocations.

Ensuring accommodation facilities meet safety and quality standards.

Ticketing and Event Specialist (Brooke D. from On Location; Victoria F.)

Acquiring tickets for the Olympic events based on participants' preferences.

Providing information on event schedules, seating arrangements, and any additional activities or ceremonies.

Assisting participants with any ticketing inquiries, changes, or upgrades.

4. Logistics Coordination (Brooke, Victoria, Regina)

Coordinating transportation within Paris, including airport transfers, public transportation options, and private transportation arrangements.

Assisting with local transportation passes and providing guidance on navigating the city.

Arranging any additional tours, excursions, or activities outside of the Olympic events.

5. Communication and Support (Victoria F.)

Providing comprehensive pre-trip information, including travel guidelines, packing lists, and emergency contact details.

Offering customer support and responding to participant inquiries promptly.

Keeping participants informed about any updates or changes related to their travel plans, accommodations, or event schedules.

Addressing any unforeseen issues or emergencies during the trip.

6. Financial Manager (Victoria F.)

Budgeting and financial planning for the entire trip, including transportation, accommodation, event tickets, and additional activities.

Collecting payments from participants and managing the financial aspects of bookings and reservations.

Ensuring transparency and accountability in financial transactions.

7. Professional Hospitality Services provided by Brooke D., Sr. Manager, Corporate & Premium Sales - Olympic & Paralympic Games, for On Location. On Location is the Official Hospitality Partner for the Paris 2024 Games. On Location helps curate the best hospitality experiences for large groups and businesses. For the first time in Olympic Games history, On Location is offering hospitality packages across 45 sports and 750 individual event sessions. From beach volleyball beneath the Eiffel Tower to equestrian events at Chateau de Versailles or a private boat on the Seine for the Opening Ceremony, there is an option to suit everyone.
