COVID Safety Plan: In-Person Conference Attendance Requirements and Recommendations

We are committed to providing a safe and inclusive environment for all participants. Below are the updated guidelines for COVID safety at our event:

Health and Symptom Monitoring

  • If you are experiencing any COVID-19 symptoms (fever, cough, shortness of breath, loss of taste or smell, etc.) or have tested positive for COVID-19, please attend the conference virtually instead.
  • If you have been in contact with someone who has tested positive for COVID-19, please take a COVID test before attending. We encourage testing prior to traveling to the event to reduce risk.

Masking Guidelines

  • Masks are strongly recommended for all in-person attendees, regardless of vaccination status. This helps create a safer environment for those who are immunocompromised or at higher risk of severe illness.
  • We will provide surgical masks at the event; however, N95, KN95, or KF94 masks offer a higher level of protection, and we encourage attendees to wear these types of masks when possible.
  • While we do not mandate masking, we ask that everyone respect each other’s choice to wear a mask and consider the well-being of all participants, particularly those at higher risk.

Eating and Social Spaces

  • There will be an outdoor eating space in the courtyard during lunch. We encourage attendees to use this area when possible to reduce risk of transmission.
  • Indoor seating will also be available in the community room for those who prefer indoor spaces. Please respect the personal space and comfort levels of others when seated in these areas.

Team and Speaker Protocols

  • The ScholarshipsA-Z team will be wearing masks for the duration of the event.
  • Speakers may remove their masks while presenting, as long as they are able to maintain physical distancing from the audience. We ask that speakers take appropriate precautions if they are experiencing symptoms or have recently been exposed to COVID-19.

General Recommendations

  • We strongly encourage all attendees to stay up-to-date with COVID-19 vaccinations and boosters, as well as any local health advisories or guidelines.
  • Please practice hand hygiene by using the hand sanitizing stations available throughout the venue.
  • If you feel unwell at any point during the conference, we ask that you stay home or attend virtually if possible to protect others.

Thank you for helping us ensure a safe and inclusive experience for everyone.
